Add a Driver to Truck Insurance Before They Drive

How to add a driver to truck insurance: what your insurer asks for, the steps before a new driver drives and mistakes to avoid.

Questions about how this applies to you? Talk to a licensed agent who ran his own authority.

Hiring your first driver is a big step. Before that driver touches your truck, there is one call you should make: to your agent. When you add a driver to truck insurance first, you avoid a dangerous gap where someone is driving your truck and your insurer does not know about them. Here is how it works.

Why you add the driver to truck insurance before they drive

Most truck policies are written for the drivers the insurance company knows about. Many policies have a list of drivers, often called scheduled drivers. The insurance company checks each one before it accepts them.

If someone drives who was never reported, you could face problems after a claim. Some policies limit or exclude coverage for unreported drivers. Your policy wording decides. The simple rule is this: no new driver drives until your agent confirms they were added.

What information the insurance company usually asks for

Your agent will usually need:

  • Full name and date of birth.
  • CDL number, state and class, and a copy of the license.
  • Years of commercial driving experience, and what kind of trucks they drove.
  • Motor vehicle record (MVR). This is the driver's driving record from the state. It shows tickets, crashes and license problems.
  • The date you want them to start.

Each insurance company has its own rules about which drivers it accepts. Things like age, experience and driving record can matter. We cannot promise that any driver will be approved. Ask before you promise the job.

How to add a driver, step by step

  1. Before you hire, send the driver's info to your agent. Ask whether the insurance company will accept them.
  2. Wait for the answer in writing. An email confirming the driver was added is good to keep.
  3. Finish your other hiring steps. If you run under your own authority, your hiring process also includes things like the driver qualification file and drug testing. Your safety compliance rules apply on top of the insurance step.
  4. Check the effective date. The driver should not drive before the date they were added.
  5. Keep a copy of the confirmation in your driver's file.

A simple checklist for day one

Before your new driver takes the first load, check that you have:

  • Written confirmation from your agent that the driver was added, with the date.
  • A copy of the driver's CDL and driving record in your files.
  • Your company rules in writing: who can drive the truck, when and where.
  • Clear steps for what the driver should do after a crash, including who to call first.
  • Your agent's phone number saved in the driver's phone.

When a driver leaves

Tell your agent when a driver quits or you let them go. Keeping your driver list current helps your policy match your business. It can also matter at renewal, when the insurance company reviews your drivers again.

Mistakes to avoid

  • Letting a new driver "just move the truck" before they are added.
  • Letting a friend or family member drive in an emergency without checking first.
  • Hiring before you know if the insurance company will accept the driver.
  • Forgetting to report a driver's new ticket or crash when your policy asks you to.

If you are growing, it is also a good time to review the rest of your policy. Our truck insurance renewal checklist covers what else to look at. And our list of documents for a truck insurance quote helps if you need a new quote.

Common questions

Can my new driver start while the insurance company reviews them? Do not let them drive until your agent confirms in writing that they were added. Ask your agent what your policy says.

Does adding a driver change what I pay? It can. Each insurance company looks at the driver's record and experience. Your agent will tell you what the change means for your policy.

What if the insurance company does not accept my driver? Then that driver should not drive your truck under that policy. Ask your agent about your options before you make the hire.
